Owner: Smart Voice Notes (“we”, “us”, “our”)1) OverviewSmart Voice Notes converts voice notes into transcripts, AI summaries, highlights, and action items. Security and privacy are defaults, not add-ons.2) ScopeThis policy covers our product, infrastructure, and operations that process customer content (audio, transcripts, summaries, metadata). It does not cover third-party services you connect (e.g., Slack) beyond the integration we provide.3) Data residency & architectureRegion: United States. Primary processing and storage occur in the US.Platform: Supabase (managed Postgres + S3-compatible object storage + auth).Isolation: Customer data is logically isolated via Row-Level Security (RLS) and app-level authorization.4) Data classificationCustomer Content: audio, transcripts, summaries, action items, highlights, tags.Account Data: name, email, usage metrics, billing details.Operational Logs: service logs/metrics without note content (unless required for incident triage).5) EncryptionIn transit: TLS 1.2+ for all connections.At rest: Provider-managed encryption for Postgres and object storage (AES-256 or equivalent).6) Authentication & access controlUser auth: Supabase Auth (email/OAuth when enabled).Least privilege: Internal production access limited to trained personnel on an as-needed basis; MFA required internally.RLS: Enforced on tables containing user data; requests are scoped to the authenticated user.7) Application securitySecrets: Stored in environment variables; never in source control.Input handling: Transcription/summary inputs sanitized; files scanned where applicable.Dependency hygiene: Regular updates and monitoring for known CVEs.8) Privacy & model trainingDefault: We do not use your notes to train models without your explicit opt-in.Processing: Content is processed only to deliver features (transcripts, summaries, highlights).Analytics: We may use aggregated, de-identified metrics (e.g., error rates, latency) to improve reliability.9) Data retention & deletionYour control: You can delete any note (audio + text).Backups: Provider backups are retained for 30 days and purge on a rolling basis. Parties: These Terms are between Smart Voice Notes (“we”, “us”, “our”) and the person or entity using the Service (“you”, “Customer”).1) AcceptanceBy creating an account, using the Service, or clicking “I agree,” you accept these Terms and our Security & Privacy Policy. If you use the Service on behalf of an organization, you represent you have authority to bind it.2) The Service; Beta statusSmart Voice Notes is currently in beta. Features may change, pause, or be discontinued. Beta software may have bugs and limited support.3) Eligibility; AccountsYou must be at least 13 years old (or the minimum in your jurisdiction). You are responsible for safeguarding your credentials and all activity under your account.4) Free minutes; Plans; OverageFounder perk: After your invite, you get 60 minutes free each month for your first two months (“Free Minutes”).Pro plan (beta): $12/month for 300 minutes of processed audio per billing cycle; overage is $5 per additional 300 minutes (rounded up).Counting minutes: Only processed audio minutes count. Reading/editing text does not.Pricing may change at or after GA; we’ll notify you before changes apply to your next cycle.5) Trials, billing & refundsPaid plans renew automatically until canceled. You can cancel anytime, effective at the end of the current period. Fees are non-refundable except where required by law.6) Acceptable useYou will not: (a) reverse engineer, probe, or disrupt the Service; (b) upload unlawful content or content you lack rights to; (c) use the Service for high-risk activities (medical, life support, critical infrastructure); (d) misrepresent identity or attempt to access others’ data.7) Customer content & licenseYou retain all rights to your content (audio, transcripts, summaries). You grant us a limited, worldwide, royalty-free license to host, process, transmit, and display your content only to operate the Service (e.g., transcription, summarization, Slack export at your request), provide support, and meet legal obligations.Model training: We do not use your content to train models without your explicit opt-in.8) Integrations & third-party servicesIf you enable integrations (e.g., Slack), you authorize us to exchange data with those services as needed to provide the integration. We are not responsible for third-party services; their terms and privacy policies apply.9) ConfidentialityEach party may receive non-public information from the other. The receiving party will protect it with reasonable care and use it only as permitted by these Terms. Exclusions: information that is public, independently developed, or rightfully received without confidentiality duties.10) Privacy; SecurityOur Security & Privacy Policy forms part of these Terms. We implement industry-standard security, including encryption in transit and at rest, access controls, and RLS.11) Intellectual property; FeedbackWe own the Service and all related IP. You may not use our trademarks without permission. If you provide feedback, you grant us a perpetual, irrevocable, royalty-free license to use it with no obligation to you.12) Service changes; SuspensionWe may modify the Service, discontinue features, or suspend accounts that violate these Terms or create risk.13) DisclaimerTHE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. BETA FEATURES MAY BE UNAVAILABLE OR INACCURATE.14) Limitation of liabilityTO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ALL CLAIMS IN ANY 12-MONTH PERIOD IS LIMITED TO THE GREATER OF $100 OR THE AMOUNTS YOU PAID US FOR THE SERVICE IN THAT PERIOD. WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOST PROFITS, REVENUE, DATA, OR GOODWILL.15) IndemnificationYou will indemnify and hold us harmless from claims arising out of your content or your breach of these Terms or applicable law.16) Term; TerminationThese Terms apply while you use the Service. You may stop at any time; we may terminate or suspend access for breach, risk, or inactivity. Upon termination, your right to use the Service ends.
